Important Notice: This Privacy Policy applies to Dentivo โ the online appointment booking platform. It does not cover the independent dental clinics that use our platform to manage their appointments. Each clinic operates independently and is responsible for its own patient data practices. Dentivo is not responsible for the clinical services, data handling, or privacy practices of any clinic listed on this platform.
1. Who We Are
Dentivo ("we", "our", "us") is an online appointment booking platform that enables dental clinics to create a public booking page and allows patients to book appointments online. We are the data controller for information collected through our platform.
2. Information We Collect
When a patient submits a booking request through a clinic's Dentivo-powered page, we collect the patient's name, phone number, optional email address, preferred appointment date and time, and any notes entered about the reason for the visit. We also collect standard server log data including IP addresses, browser type, and pages visited for the purpose of maintaining platform security and performance.
3. How We Use Your Information
The information collected during a booking is used solely to facilitate the appointment between the patient and the clinic. We pass this information to the relevant clinic admin so they can confirm or manage the appointment. We do not use patient booking data for advertising, profiling, or any purpose beyond appointment facilitation. Clinic admins (registered users of Dentivo) have their account information used to operate their clinic dashboard and manage their subscription.
4. Data Sharing
We do not sell, rent, or trade your personal information to third parties. Booking data is shared with the specific clinic you are booking with. We may share data with service providers who assist us in operating the platform (such as hosting providers), under strict confidentiality agreements. We may disclose information if required by law or to protect the rights, property, or safety of Dentivo, its users, or the public.
5. Clinic Responsibility
Dental clinics that use Dentivo are independent businesses. Once a booking is confirmed and patient data is passed to the clinic, that clinic becomes responsible for the handling of that data in accordance with applicable laws. Dentivo is not liable for how individual clinics store, use, or protect patient information after it has been transmitted to them.
6. Data Retention
Appointment and patient records stored on the Dentivo platform are retained for as long as the clinic's account remains active. When a clinic account is deleted, associated data is removed from our systems within 30 days. Patients may request deletion of their booking records by contacting us directly.
7. Cookies
We use essential session cookies to keep clinic admins logged in to the dashboard. We do not use tracking cookies or third-party advertising cookies on the public-facing booking pages.
8. Security
We implement industry-standard security measures including HTTPS encryption, secure password hashing, and access controls to protect data stored on our platform. However, no system is completely secure and we cannot guarantee absolute security.

10. Changes to This Policy
